Use the following procedure to conform a document to a SmartDesk for Authoring template.
Open the document based on the old template that you wish to convert to the new template formatting and perform the following steps.
Note: Depending on the document type, the document content, or if batch functions are performed, some of these steps may not be necessary.
To conform a document to a SmartDesk template:

In the SmartDesk ribbon, in the
Styles
group select
Manage Styles;
or, in the SmartDesk window, select
Manage Headings & Styles
from the
Styles
tab.
Select the
Keep this window open option to maintain the window on your screen. Otherwise, the window will close automatically after a function is performed.

To remove the reference to the current template (.dot) file for the document, click
Remove Old Template.

To add the new template styles to the current document and consolidate style iterations, click
Apply Template Styles.

In
Heading Numbering find the first heading level in the document. If the first heading level is not set to Heading 1 then click
Promote Headings One Level. Repeat until the first heading in the document is set to level 1.
Note: If the document is already Heading 1 relative, you can skip this step.

In the
Heading Numbering section, enter the appropriate document
Heading Prefix and
Start value to set the heading numbering style for the document and click
Change.
This resets the auto-numbering and updates the category field for use in inserting table and figure numbering.
Note: If the document does not have a Heading 1 prefix (e.g. 3.2.P) and the heading numbering starts at 1, you can skip this step.

If manual numbering is found in the document, click
Remove Manual Numbering – this will remove the manual (double) numbering from the document.
Note: If the document has no manual heading numbering you can skip this step.

In the
Paragraph Styles section, click
Scan Styles/Load Find List, when completed click the
Find Style drop-down and select each of the non- SmartDesk template styles (original document styles) listed and match it with the appropriate
Replace with (template) Style (SDA template style) item and click
Find and Replace Style.
This will scan through the document for the existing style (Find Style) and change it to the new style (Replace Style).
- If selected, the
Non-Template Only
option will load only non-template styles that are found in the document.
- You must click
Scan Styles/Load Find List to re-scan through the paragraphs to refresh the list.

Click
Remove Unused Styles – this will remove all the old, non-template styles that are not in use.

In
Document Styles, click
Style Usage Information.
A message should appear, stating that no non-template styles exist in the document.
