Application Maintenance

Application values appear in drop-down lists on the Application Attributes page and are designated at the time an application is created.

Values depend on the country to which the application is being applied. Data administration enables you to add and modify drop-down list values, and set the status of a value to active or inactive. In addition, you can specify an eCTD code, which is used to translate the application type for each country to the eCTD attribute value used for publishing.

When you select a value under Application Maintenance, a page opens with a table of all values that have been defined. You can sort these values by column. The default view is sorted in ascending, alphanumeric order.

The proper data administration access privileges are required to view and modify application maintenance values.

All XEVMPD Data Administration tables provide the ability to configure extra fields. The standard set consists of twenty extra text fields, five extra date fields, and five extra number fields.

All IDMP Data Administration tables provide the ability to add information required to maintain a standardized and structured method of collecting, reporting, coding, and evaluating authorized medicinal product data.

Application Maintenance: Application Values

You can create and maintain the following application values:

Application Value Description
Age Span Population Ages of those being tested in a trial, such as in utero, infant, adolescent, etc.
Application Category

Groupings for similar application types used in Global Project

Planning (GPP). For example: by default, Ennov InSight associates the

Clinical Trial category to the application types IND (US) and CTA (EU). When you use the Clinical Trial category with the GPP wizard, an IND for the US and a CTA for the EU are created.

Application Status For example: as planned, approved, withdrawn.
Application Type For example: name and the countries associated with the type.
Chief Investigator People who are responsible for the design, conduct, analysis, and reporting of clinical trial information.

Country Add new country values to the system, modify country values, associate a country with a region, set the default application type or procedure type for a country, and set the active or inactive status for a country. MRP/CP countries (other than reviewing country/ rapporteur/co-rapporteur) can have twenty extra text fields, five extra date fields, and five extra number fields configured.
CTA Product Role The roles a product plays in a trial, such as IMP, comparator, and placebo.
Legal Status How the product is approved to be sold. Example: pharmacy only medicine, prescription only, over the counter.
MedDRA Term MedDRA version, level, and classification code for a trial.
Medical Condition Investigated Condition investigated by the trial.
Medical Product Action/ Submission Status Submission status of the Medicinal Product.
Medicinal Product Name Part Type Values Specify the medicinal product name parts along with the language of the country and as the marketing authorisation applies in accordance with the referenced SmPC.
Medicinal Product Type Values Defines values that are used to distinguish product type. The list contains Codes for the medicinal product type term/name from the EMA CV. The default value is set to Active. The standard set of extra fields can be configured for this value.
Procedure Type

Internally mapped to one of the following: CP, DCP, MRP, or National.

The list contains the XEVMPD term ID from the Authorisation

Procedures CV for the procedure type. The default value is set to Active. The standard set of extra fields can be configured for this value.

Note: Changing the MRP (Mutual Recognition) or CP (Centralized Procedure) procedure type values is not recommended. Specific business logic is associated with these procedure types and may result in unexpected results if you change the values.
Reason for Premature Ending The reason that the application ended prematurely. This is an attribute only for a CTA application. Example: safety, lack of efficacy, trial never commenced, etc.
Region Regions with which the countries are associated, for example: EU, SA, AS, etc. Can have twenty extra text fields, five extra date fields, and five extra number fields configured. You must select a region type for a region you are creating. To add a region, you enter values for the attributes displayed in the Region Attributes table below.
Region Type

Type of a region. The name of a region type must be unique within the system. Example: Regulatory Region. You can enter up to 200 characters for the Region Type value. The default value is set to Active.

The Regulatory Region and IDMP types exist in the system by default. Both values are not available for modifications and cannot be deactivated. You can:

— Update the list of countries that are associated to the region of a regulatory region type, or create a new region of a regulatory region type using the Region Values section.

— Update the list of countries that are associated to the region of an

IDMP type, or Create a new region of an IDMP type using the Region Values section.

Regulatory Entitlement Status The Orphan Designation status of the medicinal product (where applicable) that can be found in the individual product entry at the EC Register of medicinal product.
Regulatory Entitlement Type Regulatory applications may be submitted to obtain different type of authorisations or regulatory entitlements such as orphan designations, Advanced therapy medicinal product (ATMP) classification, marketing authorisations and so on, accordance with the current European regulatory framework for medicinal products.
Sponsor Type Trial sponsor, for example: commercial or noncommercial.

Trial Design For example: randomized, open, single blind, double blind, parallel group, cross over.
Trial Phase For example: phase I, phase II, phase III, etc.
Trial Scope For example: diagnosis, prophylaxis, therapy, safety, efficacy, pharmacokinetic, or pharmacodynamic.
Trial Subject Groups For example: healthy, patients, women-child bearing potential, woman-child bearing potential on contraceptives, pregnant, nursing, emergency situation, incapable of giving consent, etc.
Application Value Description
Orphan Status For example: Expired, Pending, Valid, Withdrawn.
Product Information Document Type Values The document that contains the medicinal products details.

Age Span Population Attributes

To define an age span population value, enter values for the following attributes:

To define an application category value, enter values for the following attributes:

Application Status Attributes

To define an application status value, enter values for the following attributes:

Application Type Attributes

To define an application type value, enter values for the following attributes:

Attribute Description
Application Type Abbreviation for the Application Type. Example: NDA.
Name Full Application Type Name. Example: New Drug Application.
Display Name Display Name.
Entity XML Type Name Entity XML Type Name. All the xml mappings defined for the application entity are available for selection.
Application Category Application Category that the Application Type is mapped to. All active Application Categories defined in the system are available for selection.
Countries Countries.
Last User Updated Indicates the name of the user who last created/updated the application type. By default, this option is read-only. It is populated automatically when updates were made to the table.
Last Changed Date Indicates the date when the last change was made. By default, this option is read-only. It is populated automatically when updates were made to the table.
Active Indicates if the entity is active or inactive.

Chief Investigator Attributes

To define a chief investigator value, enter values for the following attributes:

Country Attributes

To define a country value, enter values for the following attributes:

Attribute Description
Country Code 2-digit country code as defined by ISO. Example: UK, DE, US, etc.
Country Name Full Country Name. Example: United Kingdom, Germany, United States, etc.
eCTD Code eCTD Code.
RMS Term Name List of Country RMS Values available for selection.
Last User Updated Indicates the name of the user who last created/updated the country. By default, this option is read-only. It is populated automatically when updates were made to the table.

CTA Product Role Attributes

To define a CTA product role value, enter values for the following attributes:

Legal Status Attributes

To define a legal status value, enter values for the following attributes:

Name The full name of the Legal Status. Examples: Pharmacy Only Medicine, Prescription Only, Over the Counter.

To define a MedDRA Term value, enter values for the following attributes:

Internal Procedure Code

Procedure types that identify what business rules will be applied when selecting the User Facing Procedure Types on an Application.

Because they are used internally, they are not configurable by a user.

Assigned Region Identifies the region for which the procedure type is valid (For example, EU or WAHO)
eCTD Code eCTD Code.
Procedure Type Code Current codes according to the EMA Authorisatin Procedure CV.

Region Attributes

To define a region value, enter values for the following attributes:

Region Type The type of a Region.
Region Abbreviation An abbreviation of 1-5 characters for a region you are creating. Example: EU The value you are entering must be unique within the system.
Region Name A full name of a region. Example: European Union The name you are entering must be unique within a Region Type.
Countries Countries associated to a region. A country can only belong to one region within the Region Type.

To define a trial design value, enter values for the following attributes:

To define a chief investigator value, enter values for the following attributes:

Product Information Document Type Attributes

To define a product information document type value, enter values for the following attributes:

Application Type Conditions

When adding or modifying application types, specific conditions apply.

— Required properties must be completed with valid data.

— Both the application type (abbreviation) and name (application type full name) must be unique within the system.

— Each application type must be associated with one and only one application category. The application category is used to determine application types when creating new application projects in the Global Project Planning (GPP) wizard.

— An application type can be associated with zero, one, or more countries.

— A country can be associated with only one application type per application category. For example, a country cannot be associated with both the MAA and NDA application types for the application category Marketing Authorization.

— An existing application type can be set to active or inactive.

— An application type cannot be set to inactive if that application type is currently the default application type for a country.

— A country cannot be disassociated from an application type if that application type is the default application type for that country.

Country Value Maintenance

A country is associated with an application and is designated at the time an application is created or modified. The table on the Country List page displays ALL countries in the system, and enables you to create or modify the country values that are used in the system.

The proper data administration access privileges are required to view or modify country values.

Using data administration, you can:

— Add new country values to the system

— Modify country values

— Add health authority values to a country

— Associate country with a region

— Add language to the country

— Set the default application type or procedure type for a country

— Set the status of a country to active or inactive

The application created for a country by the Copy Application function will include the default application type and the default procedure type that have been defined for that country.

To set a default application type or default procedure type for a country, the country must first be associated with an application type or procedure type in data administration.

Each country must be associated with a region. The default region for a country is the Rest of World (ROW) region of Regulatory Region type.

To associate country with a region, remove or change the existing associations, the following options can be used:

eCTD code and eCTD authority are necessary to add eCTD attributes in the Module 1 administrative metadata automatically. The eCTD attributes are included based on the ICH specification, and are necessary because the country code and agency names may differ between the eCTD and other specifications. This enables the Create eCTD Wizard to identify the correct values from the controlled value lists when there are discrepancies between specifications.

Country Value Conditions

When adding or modifying country values, specific conditions apply.

— Required properties must be populated with valid data.

Country code and country name must each be unique within the system.

— When creating a country, the default associated region is Rest of World of Regulatory Region type.

— A country can only be associated with one region within a Region Type.

— Modifying a country value will not affect the current region association to the country. — A country value is active upon creation.

— An existing country value can be set to active or inactive.

— Up to one default application type can be set for a country. — Up to one default procedure type can be set for a country.

— Before a procedure type can be set as the default procedure type for a country, the country must be associated with the procedure type in data administration.

— Before an application type can be set as the default application type for a country, the country must be associated with the application type in data administration.

— A procedure type must be active in order to be set as the default procedure type for a country.

— An application type must be active in order to be set as the default application type for a country.

Country Value Attributes

Clicking the Country Values link in Data Administration displays the Country page, which lists all countries currently in the system. You can use the attributes to describe country values associated with an application.

Column Description
Country Code Country Code (Country Code values are also hyperlinks to the Modify window).
Country Name Country Name.
eCTD Code eCTD code for the Country.
Last User Updated Indicates the name of the user who last created/updated the country value. By default, this option is read-only. It is populated automatically when updates were made to the table.
Last Changed Date Indicates the date when the last change was made. By default, this option is read-only. It is populated automatically when updates were made to the table.
Active Flag Current Active/Inactive setting for the Country.

Health Authority Attributes

You can use the attributes to add Health Authority values to a Country in Data Administration.

Country Code Code of a country for which this health authority is created.
Country Name Name of a country for which this health authority is created.
Default Flag Defines if this is the default health authority for a specified country.
eCTD Code eCTD code of a country for which this health authority is created.
Health Authority Abbreviation Abbreviation for the health authority. Example: FDA, EMA.
Health Authority Address Health authority mailing address.
Health Authority eCTD Code eCTD code of the health authority.
Health Authority Name Name of a health authority for the specified country.
Health Authority Website Website of the health authority.
Last User Updated Name of the user who last made the change.
Last Changed Date Date when the last change was made.
Active Flag Indicates if the entity is active or inactive.
Organisation ID The organisation identifier associated from SPOR Master Lists > Organisation.
Location ID The location identifier associated from SPOR Master Lists > Organisation.

Address The address associated from SPOR Master Lists > Organisation.
City The city associated from SPOR Master Lists > Organisation.

Country Region Maintenance

You can associate country with a region, disassociate a region to which your country is associated, or modify the country region association from the Country Attributes page.

Note: The Region that belongs to the default region type (Regulatory Region, or IDMP) cannot be disassociated from a country.

To associate, disassociate, or modify a country region association:

  1. Choose Go To > Data Administration.
  2. Under Application Maintenance, click a link for Country Values.
  3. Click a Country Code link to navigate to a needed Country.
  4. On the Country attributes page, go to the Region tab:
    • To modify a country region association, go to step 5.
    • To associate a region, go to step 6.
    • To disassociate a region, go step 7.
  5. Click the link for the value. Change the Region Type and Region values. Click Save.

    The Region Type field is not available for modifications if the region is of the Regulatory Region or IDMP type.

  6. Click Associate/Disassociate Region . Select the Region Type and Region values. Click Save.
  7. Select the checkbox for the region you want to disassociate and click Associate/Disassociate Region . On the warning message that appears, click OK.

Note: The region values available for selection are those associated to a selected region type.

Region Attributes

You can use the attributes to associate a Region to your Country on the view Country details page. Required information is indicated by an asterisk (*).

Attribute Description
Active Flag Value from the Country to which this Region is associated.
Attribute Description
Country Code Country code value from the Country to which this Region is associated.
Country Name Country name value from the Country to which this Region is associated.
eCTD Code eCTD code value from the Country to which this Region is associated.
Region * Region that is associated with this Country. Appears after the Region Type selection.
Region Type * Region Type of the Region that is associated with this Country.

Country Region Maintenance

Associate a language that is used for a Country.

To associate a language to a country:

  1. Go To > Data Administration.
  2. Under Application Maintenance, click Country Values.
  3. Click a Country Code link to navigate to a needed Country.
  4. On the Country attributes page, click the Languages tab.
  5. Click the Associate/Disassociate Language icon.
  6. Select the language.
  7. Click Save.

Language Attributes

You can use the attributes to associate a language to a country on the Country attributes page.

Attribute Description
Active Flag Indicates if the country is active.
Country Code Code of the country to which the language is associated.
Country Name Name of the country to which the language is associated.
eCTD Code eCTD code of an application for the country.
Language Name The language that is associated to the country.
Last Changed Date Date when the last change was made.
Last User Updated Name of the user who last made the change.
Default Flag * Indicates if the language is the default one for the country.
