Reference Maintenance

Reference values appear in drop-down lists on the Reference Attributes page and are designated when a reference is created. Data administration enables you to add and modify drop-down list values, and set the status of a value to active or inactive.

When you select a value under Reference Maintenance, a page opens with a table of all values that have been defined. You can sort these values by column. The default view is sorted in ascending, alphanumeric order.

Note: The proper data administration access privileges are required to view and modify application maintenance values.

Reference Maintenance: Reference Values

You can create and maintain the following reference values:

Value Description
Reference Content Content of the reference, such as meeting agenda or approval letter
Reference Participant Who the reference was to or from, for example: agency/agency name, internal departments, affiliates, etc.
Reference Status For example: planned, active, open, completed, etc.
Reference Type For example: announcement, internal note or content received

Note: Create reference types in the system before you create statuses, participants, and content. Statuses, participants, and content can only be associated with existing reference types.

Reference Content Attributes

To define a reference content value, enter values for the following attributes:

Attribute Description
Reference Content Content of the Reference like meeting agenda or approval letter. Different content values show in the drop down for different reference types selected. Hyperlinked from the view screen.
Reference Type The type of reference. Examples: Announcement, Note or Content Received.
Last User Updated Indicates the name of the user who last created/updated the reference content. By default, this option is read-only. It is populated automatically when updates were made to the table.

Attribute Description
Last Changed Date Indicates the date when the last change was made. By default, this option is read-only. It is populated automatically when updates were made to the table.
Active Indicates if the entity is active or inactive.

Reference Participant Attributes

To define a reference participant value, enter values for the following attributes:

Attribute Description
Reference Participant Participant of the Reference such as who provided the content or who it was sent to. Different Participants show in the drop down for different reference types selected.
Reference Type The type of reference. Examples: Announcement, Note or Content Received.
Last User Updated Indicates the name of the user who last created/updated the reference participant. By default, this option is read-only. It is populated automatically when updates were made to the table.
Last Changed Date Indicates the date when the last change was made. By default, this option is read-only. It is populated automatically when updates were made to the table.
Active Indicates if the entity is active or inactive.

Reference Status Attributes

To define a reference status value, enter values for the following attributes:

Reference Status Status of the Reference like open/close or approved/unapproved. Different Statuses show in the drop down for different reference types selected.
Reference Type The type of reference. Examples: Announcement, Note or Content Received.
Last User Updated Indicates the name of the user who last created/updated the reference status. By default, this option is read-only. It is populated automatically when updates were made to the table.
Last Changed Date Indicates the date when the last change was made. By default, this option is read-only. It is populated automatically when updates were made to the table.
Active Indicates if the entity is active or inactive.
